What a financial assistant should actually do

Most “AI for business” is a chat box in front of a search index. Money is a harder problem, and it needs different rules.

There is a lot of AI aimed at small businesses at the moment, and most of it answers questions. Useful, occasionally. But a sole trader’s problem is rarely that they do not know something. It is that the thing needs doing, and it is nine at night.

An assistant that can only talk is a search engine with better manners. The interesting question is what happens when it can act — and what has to be true before you let it.

Understanding the ask is the easy half

“Request 10 from Anna for Tuesday’s class” is not hard for a modern model to parse. Amount, person, reason. The hard part is everything after: which Anna, on which number, and what happens if the assistant guesses wrong.

Guessing wrong about a search result wastes a few seconds. Guessing wrong about a payee sends money, or a payment request, to the wrong person. Those are not the same category of mistake, and they should not be designed with the same confidence.

For anything involving money, the right behaviour when uncertain is to ask — not to pick the most likely option and hope.

The rules that matter

  • Confirm before it commits. Show the amount, the name and the number, then wait to be told to go.
  • Prefer asking over guessing. Two contacts with similar names is a question, not a coin flip.
  • Never handle credentials. The customer authorises inside their own banking app, every time.
  • Leave a record. Every action should produce something both sides can point at afterwards.
  • Make undo cheap where undo is possible, and make it obvious where it is not.

None of these are AI features. They are the ordinary discipline of handling other people’s money, applied to a system that now drafts its own actions.

Small business, not small finance

The reason this is worth doing is that the alternative is not a better tool. The alternative is the spreadsheet, the notes app and the memory of a tired person — which is what most one-person businesses actually run on.

An assistant that drafts the request, remembers who owes what, and asks before it commits is not replacing a finance team. There was never a finance team. It is replacing the part of the evening that used to go on admin.

Vcents turns the thread into a payment.

Ask for money in plain English. Your customer taps once, authorises in their own bank, and the receipt lands back in the chat.
